What are the first steps of the 3×3 writing process–the prewriting process?
According to Guffey, M. E. (2013) the key elements to prepare for the writing process is
to identify the purpose of the document, the intention and the tone behind the message, and the
size of your audience. Once information is gathered, use similar terminology to the recipient’s
organization, and look for ways to encourage feedback (p.133). The pre-writing phase is where
the writer is able to organize and structure the tone of the message for the receiving party.

achieve a positive tone?
The appropriate tone or any business report or in this case Mr. Hackman’s statement is to
always be professional and courteous. The main focus in writing is to be fairly formal regardless
of the business’s culture, conveying a positive message even if the information is negative, be
concise and use active writing Each step will assist any writer on their objective and creating a

Depending on the report, if the purpose is to convince my audience on a decision or an
outcome, I would provide all the positive highlights in my favor. Otherwise, the report will carry
a bias-free tone with all positive and negative information that would allow the reader to create
their own conclusion. According to Heffernan (2015) the key tools for avoiding bias is to learn
how to identify and review for visuals or verbal communication that is stereotypical or
demeaning (p.1). For examples, gender, race, ability/disability, religion, etc. or referring to
anything by labels. The objective is to write in a diverse/inclusive manner and always have your
team review for “bias errors”. If colleagues are not available but is strongly recommended, there
is a web-based resource that will assist in identifying bias such as UnderstandingPrejudice.org
where you can take the Implicit Association Test. The source does not correct the issues found
on reports, however, they do educate a participant if they are sub-consciously bias and identify
biased terminologies.
